AMC Management Software: How RO and Service Businesses Track Renewals

Short answer: AMC management software tracks renewals by keeping each annual maintenance contract on the unit it covers, with a start date, an end date, the visits included and the customer's phone number. It lists every AMC ending in the next 30 days, gives each renewal an owner, sends the customer a reminder before expiry, schedules and records each service visit, and turns a "yes" into an invoice. A notebook or a spreadsheet cannot remind anyone, so renewals slip.

This guide is for owners of RO and water purifier service businesses, and other service firms in India that sell annual maintenance contracts on equipment they install. It covers why AMC renewals get missed, what an AMC record should hold, an eight-step renewal routine, what to check when you compare AMC management software, and what Sales Automation Suite documents today. If your team also loses complaints between calls and WhatsApp, read how to track every lead, sale and complaint in one place.

Why do AMC renewals get missed?

An AMC is sold once a year and then forgotten until something breaks. The renewal is lost in the gap between the sale and the next service call:

  • The end date lives in one place nobody checks. It is written on a paper card, in a notebook or in one technician's phone.

  • Nobody owns the renewal. The salesperson moved on to new units, and the technician thinks renewals are the office's job.

  • Visits are not tied to the contract. The office cannot tell whether a customer has used both free services or none.

  • Customers hear from you only when they call. By then the AMC has lapsed, and the customer may have called a local mechanic instead.

  • The unit history is split. The sale is in billing, the complaints are in a register and the service visits are on job cards in a drawer.

None of this looks like lost money on the day. It shows up later as units nobody services, customers who drift away and a service team that is busy one month and idle the next.

What should an AMC record hold?

One AMC record linked to the unit it covers, holding customer, unit and serial number, contract dates, visits included, visit history, complaints and renewal owner

One record per contract, linked to the unit it covers, so anyone in the office can answer a customer in one look:

  • Customer: name, phone number, WhatsApp number and full address with area, so visits can be routed.

  • Unit: product, model and serial number, the install date and the original invoice.

  • Contract: AMC type (for example, service only or service with parts), start date, end date and the AMC charge agreed.

  • Visits included: how many preventive services the contract covers, and which months they fall due.

  • Visit history: each visit with its date, technician, work done, parts replaced and the customer's sign-off.

  • Complaints: every complaint raised during the contract, so the office knows whether a call is covered or chargeable.

  • Renewal: the renewal owner, the reminder dates, the customer's answer and the reason if they said no.

The test is simple: when a customer calls, can the person who picks up see whether the unit is under warranty, under AMC or out of cover, without asking anyone else?

How to track AMC renewals, step by step

AMC renewal reminder plan: a message 30 days before expiry, a call 15 days before, a final message on the expiry day and a follow-up one week after, with a weekly list of AMCs ending in the next 30 days

Set this up once, then run the same routine every week.

Step 1: Put every live AMC into one list

Collect contracts from paper cards, notebooks, spreadsheets and technicians' phones into one list. For each one, record the customer, the unit and its serial number, the start and end dates and the visits included. Mark any contract whose dates you cannot confirm, and call those customers first.

Attach the contract to the serial number and the original invoice, not just to the customer's name. A customer with two purifiers has two units, and each may have a different warranty end date and a different AMC.

Step 3: Schedule the included visits on day one

When an AMC is sold or renewed, put its preventive visits on the calendar straight away, for example one visit every few months, spread across the year. A visit that is booked on day one gets done. A visit that waits for the customer to call usually does not.

Step 4: Record every visit on the contract

Each service visit should close with the date, the technician, the work done, the parts used and the customer's confirmation. This is what lets the office tell a customer, truthfully, what their AMC has already delivered when it comes up for renewal.

Step 5: List the renewals due in the next 30 days

Every Monday, pull the list of AMCs ending in the next 30 days, and the ones that ended in the last 30 days without a renewal. This one list is the renewal team's work for the week. Choose a window that suits your volume, but keep it fixed so nothing falls between two weeks.

Step 6: Give every renewal an owner and a reminder plan

Assign each due renewal to one person. A simple reminder plan works for most service businesses:

  • About 30 days before expiry: a WhatsApp or SMS message with the end date and what the AMC covers.

  • About 15 days before: a call from the renewal owner, with the visit history in front of them.

  • On the expiry date: a final message that the cover is ending.

  • After expiry: one follow-up a week later, then mark the contract lapsed with a reason.

Keep the messages short and factual, and send them from a business number, not a technician's personal phone. Our guide to WhatsApp CRM automation explains how automated messages fit into a sales follow-up routine.

Step 7: Turn a "yes" into a quote and an invoice

When the customer agrees, send the renewal quote, collect the payment and raise the invoice from the same record, then create the new contract period and book its first visit. If you already send quotes and invoices from your CRM, the inventory and sales integration guide shows how parts and filters used on visits can come out of the same stock.

Step 8: Record every "no" with a reason

A lapsed AMC is still useful information. Record why: price, moved house, bought a new unit, unhappy with service, or no answer. Review the reasons each month. A pattern of "unhappy with service" points at the visit team, not the renewal team.

Which numbers should a service business review each month?

Keep the review short and use only numbers your own records produce:

  • Renewals due, renewed, lapsed and still open for the month, by renewal owner.

  • Visits due and visits done against live contracts, by technician and area.

  • Complaints from AMC customers, by type, and how many were on units where the included visits were missed.

  • Reasons for lapsed AMCs, counted by reason.

  • AMC customers with no visit recorded in the contract so far.

If a salesperson or renewal owner keeps missing follow-ups, the same review method appears in how to track sales team performance in CRM.

What should you check in AMC management software?

When you compare tools, ask for a live demo on your own process, not a slide. These questions separate a real AMC workflow from a contact list with a date field:

  • Contract on the unit: can one customer hold several units, each with its own serial number, warranty and AMC?

  • Renewal list: can the software list contracts ending in the next 30 days, by owner and area, without exporting to Excel?

  • Automatic reminders: which reminders go out by themselves, on which channel (WhatsApp, SMS, email), and who sees the reply?

  • Visit schedule: are the included visits created automatically when the contract starts, and can a technician close a visit from a phone?

  • Cover check on complaints: when a complaint is logged, does it show whether the unit is under warranty, under AMC or chargeable?

  • Quote to invoice: does a renewal create a quote and a GST invoice without re-typing the customer?

  • Parts and stock: do filters and parts used on visits reduce stock?

  • Customer view: can customers see their contract and visit history, or raise a complaint, through a login?

  • Migration: can your existing AMC list be imported from a spreadsheet, and who checks the dates?

Ask the vendor to show each answer on screen and to put anything not shown into the written quote. Our ERP and CRM buyer's checklist lists the wider questions to ask before you sign.

Is AMC tracking different for laptop repair or car service?

The routine is the same, and the record changes slightly:

  • RO and water purifiers: contracts sit on the installed unit, visits are preventive services, and filters and parts are the main consumables.

  • Computer and laptop repair: the unit is the device or a set of office machines, so serial numbers and warranty end dates matter most. The SAS laptop repair page (checked 26 Oct 2026) lists SAS Product Warranty, which tracks warranties with expiry dates and customer details and creates warranty claims from sales orders.

  • Car and vehicle service: the record sits on the vehicle, and service reminders follow the job history. The SAS automobile service page (checked 26 Oct 2026) describes repair and service jobs with WhatsApp notifications to customers.

In every case, the AMC, the complaints and the visits belong on the same customer and unit record.

How does Sales Automation Suite handle AMC tracking?

SAS Complaint app list showing complaint number, contact, complaint date, invoice, complaint type, reporting manager and status (demo data)

SAS lists AMCs, contracts, warranty and service on its plan and industry pages. Here is what the live SAS pages show today, and what they leave open.

Sales Automation Suite (SAS) from Peanut Square is one ERP and CRM built for how India sells. It is meant for India B2B sellers who outgrow a CRM-only stack and want one INR-priced ERP+CRM with India lead portals and WhatsApp on the pricing page, on Cloud or On-Premise. Peanut Square is based in Ahmedabad and holds ISO 9001:2015 and ISO 27001:2022 certification.

The SAS RO service page (checked 26 Oct 2026) says SAS keeps sales, installation, warranty, AMC, serial numbers, complaints and service orders together, with an operations dashboard. It lists two modules:

  • SAS Warranty & Installation: runs RO and water purifier sales, warranty, AMC, installation, serial tracking, complaints and service orders, with an operations dashboard. The page's FAQ says it tracks warranty, AMC and serial numbers for each RO unit.

  • SAS Complaint Management: tracks each complaint by type and status until it is closed.

The SAS pricing page (checked 26 Oct 2026) lists Contracts, AMCs, Support Ticketing, Status Updates and Customer Login under CRM and Sales, with quotations, proforma invoices, sales orders and billing, and lists free WhatsApp automation under integrations. The SAS CRM app page (checked 26 Oct 2026) describes automated reminders and replies for follow-ups and two-way WhatsApp chat inside the CRM without personal numbers. The SAS Calendar app page describes scheduling and viewing activities by date, and the SAS Complaint app page describes managing complaints by type, dealer and status, with a complaint dashboard.

The SAS pages we checked don't settle every renewal question. They don't say whether AMC renewal reminders go out automatically from the contract, which channel they use, whether included visits are scheduled when a contract starts, or whether a renewal creates the invoice by itself. Ask the SAS team to show your own renewal routine, from the 30-day list to the new contract, in a demo, and to put each answer in the written quote.

On price: ₹300/user/month on Premium (40% off ₹500, GST extra, billed yearly).

If your AMC list still lives in a spreadsheet, start with how to switch from spreadsheets to CRM software before you set up renewals.

What is AMC management software?

AMC management software keeps each annual maintenance contract on the unit it covers, with start and end dates, included visits, visit history and complaints. It lists renewals that are due, reminds customers before expiry and turns a renewal into a quote and an invoice.

How do I track AMC renewals?

Put every live AMC into one list linked to the unit and the bill, schedule the included visits when the contract starts, and every week pull the contracts ending in the next 30 days. Give each renewal an owner and a reminder plan, and record every "yes" and every "no" with a reason.

When should I remind a customer that their AMC is ending?

A simple plan is a message about 30 days before expiry, a call about 15 days before, a final message on the end date and one follow-up a week after. Adjust the timing to your volume, but keep it fixed so no renewal is skipped.

Can I manage AMC renewals in Excel?

You can keep a list, but a spreadsheet cannot remind anyone, link visits and complaints to the contract, or create the invoice. Most service businesses move to software once renewals start slipping or the list is kept by more than one person.

Does SAS track AMCs for RO service businesses?

The SAS RO service page says SAS Warranty & Installation tracks warranty, AMC, serial numbers, installation, complaints and service orders for each RO unit, and the pricing page lists Contracts and AMCs under CRM and Sales. Ask the SAS team to confirm how renewal reminders and visit schedules work in a demo.
